Guidance on taking photographs in schools

New common sense guidance from the Information Commissioner’s Office (ICO) [December 2004] Parents may take photographs of their child and friends at the annual school nativity play. Photographs taken purely for personal use are exempt from the Data Protection Act (DPA). This means: Parents, friends and family members can take photographs of their child and friends participating in school activities for the family album and can film events at school.

Visitor Management and Site Security Procedures

1. Access through the main entrance without signing in will be permitted only at the following times: Open Evenings

2. Access directly into the Upper Hall without signing in: Class Assemblies, Band, Orchestra Practices, PTA events, Concerts

3. At all other times, access for all parents is through the main front entrance and parents will be required to sign in. Parents are requested not to enter the school by any other entrance at any other time. To do so will jeopardise the school security and negate the costly provision of a single access and egress system.

4. If you need to see a Member of Staff:

It is not possible for teachers to see parents, before or after school without an appointment. Parents are therefore requested to arrange an appointment through the school office when they wish to see a member of staff. If the matter is urgent, please contact the school office who will always pass a message on, or arrange an urgent appointment with the Head Teacher or class teacher.

Please note: Parents will be met by Staff at the Main Entrance when arriving for an appointment.

5. Lost Property:

Found property [clothing] is returned to its owner if it is named. Other property of value is sent to the Reception Office.

6. Top playground:

Parents will not be allowed to enter the school via the doors on the top playground. Any children not collected from school immediately after 3.30 p.m. will be sent to the main office to be collected by parents.

7. School Reception:

The school office will be open between 8.30 am. and 4.00 p.m. for telephone messages or personal visits. Parents are requested not to contact the school at other times. The Receptionist, or nominated personnel, will man the school reception during these hours.

8. Late Arrivals:

Children arriving in the morning after all classes have come into school need to use the main entrance so their attendance can be recorded.

9. New Reception Class Children

Parents may be invited to accompany their children into school for the first few days until they settle.

On all other occasions parents are requested to release children into their class lines in good time and not to enter the school with them. This applies even in wet weather.

These proposals have been drawn up in the best interests of your children and they will only operate successfully with your full co-operation.

However it must be emphasised that the procedures are not intended to deter any of you from visiting the school – You will always receive a friendly welcome, but we want you to feel that you and your children are being properly cared for during your stay on the site.

We would welcome any feedback on how the procedures are working and any sensible suggestions to improve the arrangements will be gratefully received.
